In the online entrepreneur space, “system” is a buzzword that we often throw around without a real conversation about what a system is and why we need to implement them in our businesses. One of my favorite quotes from “The System Is the Secret” by James Karl Butler says, “Let systems run the business and people run the systems. People come and go, but the systems remain constant.” This blog will explain this quote and give three reasons why systems will make or break your business.
There are three primary reasons why systems are important.
1. Helps increase your know, like, and trust factor.
2. Helps establish a consistent client experience.
3. Allows you to focus on your zone of genius.
First, let’s define exactly what a system is.
What is a system?
A system is defined as a set of things, actions, ideas, and information that work with each other to help make things work better. No matter where you go or what you do, you will ALWAYS encounter a system.
Business owners and corporations use systems to do specific tasks within their company. I am an expert in marketing systems because of what I’ve learned in Corporate America building and improving systems in multiple industries. These companies implemented systems and protocols to ensure everyone was on the same page, so that we would be able to quickly pinpoint the problem and retrace steps to find out exactly what went wrong.
By implementing systems you can measure data effectively, become known for a specific topic, and make things more streamlined in your business.
Honestly, systems are bae.
I believe that when businesses are not successful, they lack systems and structure, which is why I prioritize helping business owners create and implement marketing funnels and tech that help them develop the structure they need for consistent sales. Let’s talk about the three reasons why you need to develop better systems to help you understand why your current systems can impact your goals.
1. Systems help increase your know, like, and trust factor.
The “know, like, and trust” factor is based on what you are known for, your personality, and if they can trust you to deliver what you have promised.
For people to know you, you must be visible.
Ask yourself, “How are you showing up for your ideal clients?”
There are so many ways to be visible and it is easy to feel overwhelmed with the pressure of having to be consistent on every platform. One of my favorite tools to help me reduce my stress is Metricool.
With Metricool, you can create one post across multiple based on your editorial calendar. This helps your visibility so that more people can know you without you having to manually produce content consistently.
As your visibility grows and more people get to know you and your expertise, they will begin to trust you and fall in love with your belief system and personality. You have to show up and prove that you will do exactly what you say you will do when they get ready to hire you.
A benefit of growing a strong know, like, and trust factor is that people will become your “sales associates” and will sell your products and services for you. My favorite way to get business is through referrals. That’s because the people who I have worked with are bragging about my services pre-qualified new clients for me.
How do systems play a part?
By setting up the correct systems in your business, such as an email welcome sequence you can direct potential clients to sign up for your email list in exchange for a free download so that you can continue to nurture them and teach them more about your expertise.
Evaluate your systems and tools that you are currently using and think about how you can leverage them to become more visible and increase your know, like, and trust.
2. Systems help establish a consistent client experience.
This is important because often new business owners and solopreneurs business are manually doing tasks that we should be letting the system do for us. A common misconception is that in order to deliver the best experience we have to manually run the systems.
That’s not true!
I’ve received deposits from automated invoices and it seemed as if I had literally sent it out myself.
My favorite systems allow you to personalize your communication using different tags and automation. This gives you back hours of your time and allows you to continue to focus in your zone of genius.
There are various ways to create a consistent client experience that your audience will appreciate. Some ideas of things to incorporate on your website: FAQs, and an inquiry form that triggers an automated email sequence within minutes of completion.
It’s important to implement systems that will help you streamline the experiences that you provide to your clients because nobody wants to continue to get a different experience with you every single time they work with your business. This also helps your clients refer you to new people so that they can prepare them for you.
Two of the best systems that I like to use for this are Dubsado and HoneyBook. Although Dubsado has a learning curve, it offers more flexibility than HoneyBook. Honeybook is easier to use and you can use their templates to create your workflow in a shorter amount of time. I currently use Honeybook.
3. Systems allow you to focus on your zone of genius.
Your zone of genius is whatever you’re good at doing. My zone of genius is in systems, tech, and anything business. In order to maintain your focus and stay in your zone of genius, you need to implement the right systems. When you have to stop being the expert that you are to do the things that you don’t know how to do, you take away from the time that you need to actually create and sit in that creative space.
When you focus outside of your zone of genius, you waste time trying to figure out how to do something that you should just have someone else do for you. One of my biggest gripes with the entrepreneurs, including myself, is that we feel like we have to do it all, but you don’t have to.
